Record Keeping

[18:16] Angeliquaelle Khandr: I was a record keeper for a time. I did not like it so much.
[18:16] Angeliquaelle Khandr: I found it boring, tedious.
[18:16] Angeliquaelle Khandr: It did have the advantage that I could do it whenever.
[18:17] Angeliquaelle Khandr: Also it is not so time consuming once you figure out a system.
[18:17] Angeliquaelle Khandr: Also you learn all the gossip and news.
[18:18] Angeliquaelle Khandr: Also you get to be part of groups you otherwise would not be.
[18:18] Angeliquaelle Khandr: I was a warrior for many weeks.
[18:18] Angeliquaelle Khandr: This was interesting. I saw all their chat.
[18:18] Angeliquaelle Khandr: I would recommend this position to all people who are new or have a little time but are not gossips.
[18:18] Angeliquaelle Khandr: I would choose to divide record keeping into two types.
[18:19] Angeliquaelle Khandr: One type is for private records.
[18:19] Angeliquaelle Khandr: This is births deaths slaves companionships and suchlike
[18:19] Angeliquaelle Khandr: These can be good for rp.
[18:20] Angeliquaelle Khandr: Making people keep slave records means Masters must take slaves to the physician.
[18:20] Angeliquaelle Khandr: So we have role play.
[18:21] Angeliquaelle Khandr: However some records are a pain and I wonder why we do them.
[18:21] Angeliquaelle Khandr: This would include Free Companionship Renewals.
[18:22] Angeliquaelle Khandr: Why do we want to record if people renew?
[18:22] Angeliquaelle Khandr: Happy couples need no renewal. Unhappy ones chase us to stop it.
[18:22] Angeliquaelle Khandr: There are many records in the books.
[18:23] Angeliquaelle Khandr: Also there are many examples of people buying and selling girls without making long paperworks.
[18:23] Angeliquaelle Khandr: Sometimes I think we scribes make up paperwork to keep us busy.
[18:24] Angeliquaelle Khandr: Still is useful in disputes.
[18:24] Angeliquaelle Khandr: So I think we need to look carefully at each paperwork we do and ask "Why are we doing this?"
[18:25] Angeliquaelle Khandr: And if we can not come up with a good reason we should stop.
[18:25] Angeliquaelle Khandr: We must not let scribes become bureaucrats burdening people.
[18:26] Angeliquaelle Khandr: I think one way to tell if it is silly paperwork is to look back and ask if we have ever gone back and used it.
[18:26] Angeliquaelle Khandr: If we have not, then we should maybe think about stopping doing it.
[18:27] Angeliquaelle Khandr: There are many blanks around available from the Blue Caste of Gor. Some are simple and easy.
[18:27] Angeliquaelle Khandr: Some are complex.
[18:28] Angeliquaelle Khandr: I put the word blank in the title so it is easy to find in my inventory.
[18:28] Angeliquaelle Khandr: I put in blank and only blanks come up.
[18:29] Angeliquaelle Khandr: One thing I do which makes my life complicated is I start filling out a blank one and save it without making a copy.
[18:30] Angeliquaelle Khandr: I do not recommend doing this.
[18:30] Angeliquaelle Khandr: Where possible I use the simplest form.
[18:31] Angeliquaelle Khandr: As with types of paperworks one should look at questions in the forms and ask "Do we really need to ask this?"
[18:31] Angeliquaelle Khandr: Each line to fill in is a line to screw up on. What make more screw ups than necessary?
[18:32] Angeliquaelle Khandr: Second type of records is group records.
[18:32] Angeliquaelle Khandr: The groups in SL only keep notices for about two weeks.
[18:32] Angeliquaelle Khandr: This can be less if the group is very busy.
[18:33] Angeliquaelle Khandr: What I noticed on Citizen and Property of Port Olni is that it is a very busy group and notices seem to fall off after only ten days.
[18:34] Angeliquaelle Khandr: So you must check busy groups once a week.
[18:34] Angeliquaelle Khandr: I recommend. The record keeper should be in all city groups.
[18:35] Angeliquaelle Khandr: If a big city assign groups.
[18:37] Angeliquaelle Khandr: If the group has someone who does minutes of meetings then the record keeper does not need to be at the meeting only to get the minutes.
[18:37] Angeliquaelle Khandr: But many groups have no minute keeper and this can be way for them to keep records.
[18:38] Angeliquaelle Khandr: You invite yourself to their meeting by offering to keep minutes.
[18:38] Angeliquaelle Khandr: I like how Jarvis taught me to do minutes.
[18:39] Angeliquaelle Khandr: Not just a transcript but a list of who attended and what topics were covered at the top.
[18:40] Angeliquaelle Khandr: You do not need to hunt.
[18:40] Angeliquaelle Khandr: Also by doing this you correct errors
[18:40] Angeliquaelle Khandr: I recommend removing things like so and so is on line
[18:40] Angeliquaelle Khandr: Other chat items not related to the meeting.
[18:40] Angeliquaelle Khandr: Also to add in the minutes all things which are given out.
[18:41] Angeliquaelle Khandr: When people give out no modify things you can not do this. This annoys me.
[18:41] Angeliquaelle Khandr: Oh yes in groups, I forgot.
[18:41] Angeliquaelle Khandr: Large busy group with many posters.
[18:41] Angeliquaelle Khandr: If you open the group and touch the date the notices reallign by date.
[18:42] Angeliquaelle Khandr: This saves much time. I learned that only after two times of doing it.
[18:42] Angeliquaelle Khandr: Also if they do not sign the notice or the title has information not in the text you must copy that as well. Most irritating.
[18:42] Angeliquaelle Khandr: I hated the ones where people just made the announcement in the title.
[18:42] Angeliquaelle Khandr: Finally all these records should go somewhere.
[18:42] Angeliquaelle Khandr: If you av vanished tomorrow would all your records be lost?
[18:42] Angeliquaelle Khandr: This is important. People leave. People stop coming on line.
[18:43] Angeliquaelle Khandr: Everyone should have copies not just you.
[18:43] Angeliquaelle Khandr: If nothing else put them in those freebie bookcases.
[18:43] Angeliquaelle Khandr: For your city you could put them in those bookcases in your office or some locked place as a back up.
[18:43] Angeliquaelle Khandr: Or get your admin to buy a wonderful system to put records in.
[18:44] Angeliquaelle Khandr: So this is all I wish to say about records.

[18:48] Angeliquaelle Khandr: We needed it to settle a dispute about alts.
[18:48] Angeliquaelle Khandr: We thought the same troublemaker was back in his alt and sure enough the old alt had the applicant alts name.
[18:48] Angeliquaelle Khandr: Of course most trouble makers do not so nicely announce alt names yes?
[18:49] Angeliquaelle Khandr: But this one was stupid in addition to trouble.
